What has to be on a valid invoice?

At minimum: a unique invoice number, the issue date, a due date, itemized charges, and the total amount owed.

Some jurisdictions require additional fields, like a tax ID or a VAT breakdown — check your local requirements. This covers what's functionally needed to get paid.

Not sure which document you need

Invoice vs. receipt.

An invoice requests payment that hasn't happened yet. A receipt confirms payment that already has. If money hasn't changed hands, you want an invoice — and StitchInvoice generates the receipt automatically the moment it's marked paid, so you never create one by hand.

Common questions about invoices.

Is this invoice generator really free?

Yes. You can build an invoice and download the PDF without an account. StitchInvoice only comes in later, if you want to send it, track when it's viewed and paid, and have reminders sent automatically.

What's the difference between an invoice and a quote?

A quote is sent before work happens, proposing a price. An invoice is sent after (or as) the work happens, requesting payment. If money hasn't changed hands yet and the client hasn't committed, a quote is the right document first.

How long should payment terms be?

Net 14 and Net 30 are the most common. Shorter terms tend to get paid faster on average — our payment terms calculator can help you compare options and see the actual due date.

What happens if a client pays late?

That's outside what a PDF generator can do on its own. StitchInvoice tracks each invoice's status and can send an automatic reminder sequence before and after the due date, so chasing payment isn't something you have to remember to do by hand.

Where is my data stored?

Your draft stays in your own browser. When you download a PDF, the details are sent to StitchInvoice only to render the document, which is streamed straight back — nothing is saved on our side.
