What to include

What actually belongs on a quote.

A quote number, so a revised version can be referenced against the original

A validity period; "This quote expires [date]" avoids honoring last year's pricing

Itemized pricing, not one bundled figure, so a client can see what they're actually paying for

What's explicitly excluded from scope, not just what's included

Clear next step to accept: a signature line, a reply, or a link, not an assumption

Payment terms that will apply once the quote is accepted and becomes billable work

Not sure which document you need

Quote vs. estimate.

A quote is a fixed, committed price a client can accept as-is. An estimate is a close approximation for work that's still taking shape. If the number could still change, you want an estimate. Sending a "quote" you might have to revise undermines the one thing a quote is supposed to guarantee.

Questions

Common questions about quotes.

How long should a quote stay valid?

30 days is standard for most services: long enough to give a client time to decide, short enough that your pricing doesn't go stale before they do.

What happens once a client accepts?

An accepted quote converts directly into an invoice, keeping the same line items, client details, and history, so nothing gets re-entered.

Should I quote a range or a fixed price?

A quote should be a fixed number the client can rely on. If the scope is still uncertain, an estimate is the more honest document to send instead.

Keep your quotes with the clients they belong to.
